Who owns your client list, and how to find out today

If you left your booking app tomorrow, could you take your clients with you? Here is how to check, and how to start building a list in your own name.

The short version

  • Your client list is the only asset a competitor cannot copy.
  • Most marketplace apps hold the customer record; you get an interface to it.
  • Test it in ten minutes: try to export names, phone numbers and emails to a file.

A local business has two real assets. One is the skill in your hands. The other is the list of people who already trust you with their money. Everything else, the chairs, the lease, the tools, can be replaced in a week.

The list is the one most owners never check on. It usually lives inside whatever app takes the bookings, and it feels like yours because you can see it on the screen. Seeing it and owning it are different things.

The ten minute test

  1. 01Open your booking tool and look for an exportSettings, clients, data, or privacy. You want a button that produces a CSV or spreadsheet file, not a printed page.
  2. 02Check what is actually in the fileA useful export has full name, mobile number and email for every client. A list of first names and appointment times is not a client list.
  3. 03Read the terms on cancellationSearch the help centre for 'export' and 'cancel'. The question is whether the export still works on the day you stop paying.
  4. 04Ask what happens to marketing permissionsSome platforms hold the consent to contact the client, which means the contact detail is there but you cannot legally use it.

If any of those four steps fails, you are renting your customer relationships. That is not a scandal, it is just the deal. Marketplaces are paid to send you strangers, and the strangers stay theirs.

What owning it looks like instead

  • Bookings happen on a page at your own web address, so the record is created in your system first.
  • Every booking captures name, mobile and email with a clear consent checkbox.
  • You can export the whole list to a spreadsheet at any time, without asking anyone.
  • The list survives a change of software, a change of premises, and a change of mind.
A list you cannot export is a list you are borrowing.

Start where you are

You do not have to leave the marketplace to start building your own list. Keep the app for discovery if it brings you new faces, and give returning clients a direct way to book with you. Over a year, most of your bookings are repeat visits, and repeat visits are the ones that belong on your own rails.

Ask for the email at the chair. Put your own booking link in your Instagram bio and on your receipts. Keep one master spreadsheet, even if it starts ugly. The point is not tidiness, it is possession.
